This Privacy Policy explains how Arwen SEC Pty Ltd, trading as LoopTradie ("LoopTradie", "we", "us", or "our"), collects, uses, stores, discloses, and protects information when you use the LoopTradie voice assistant (the "Service"), which connects to your ServiceM8™ account. By using the Service you agree to the practices described here.

LoopTradie is an independent add-on. It is not developed, affiliated with, or endorsed by ServiceM8™. When you connect your account, we access ServiceM8 data solely on your behalf to operate the Service.

1. Who we are

LoopTradie provides an AI-powered voice assistant that helps trade and service businesses manage jobs, customers, scheduling, materials, and notes in their connected ServiceM8 account, hands-free. The Service is operated by Arwen SEC Pty Ltd (trading as LoopTradie). For any privacy question, contact support@looptradie.com.

2. Information we collect

ServiceM8 business data	Jobs, customers, contacts, staff, schedules/allocations, materials, payments (read-only), and notes — accessed live from ServiceM8 as needed to fulfil your requests.	To let the assistant answer questions and make the changes you ask for.
Voice & conversation	Audio you speak during a call, and the text transcript of your conversation with the assistant.	To understand your requests and produce responses.
Usage & billing	Talk-time consumed, session timestamps, plan/balance, and payment records held by our payment processor (never your card details).	To meter your trial/plan and process top-ups.

We do not collect more ServiceM8 data than is needed to operate the Service, and we request only the OAuth permissions the assistant uses.

3. How we use your information

To operate the voice assistant and carry out the actions you request in ServiceM8.
To authenticate your connection and keep your session secure.
To meter talk time, manage your trial and plan, and process payments.
To review and improve reliability and quality of the Service.
To provide support and respond to your enquiries.

We do not sell your data, and we do not use your ServiceM8 business data for advertising.

4. Voice transcripts & retention

Voice transcripts are retained for up to 30 days to enable session review and support, after which they are permanently deleted. ServiceM8 business data is accessed live and is not permanently stored by us beyond what is necessary to complete your request and maintain your session. Authentication tokens are stored securely for as long as your account remains connected and are deleted when you disconnect or sign out.

5. Third-party processors

We share the minimum information necessary with trusted service providers who process it on our behalf, under confidentiality and data-protection obligations. These fall into the following categories:

ServiceM8 — the source of, and destination for, your business data (accessed via OAuth).
Real-time communications infrastructure — transports the audio of your voice calls.
Artificial-intelligence providers — process your speech and conversation to understand your requests and generate responses.
Payment processing — securely handles paid-plan payments. Card details are entered on the processor's secure checkout and are never seen or stored by LoopTradie.
Hosting and infrastructure — host the Service and store data as described in this policy.

We select reputable providers and require them to protect your information. The specific providers we use may change from time to time; a current list is available on request to support@looptradie.com.

6. Disclosure of information

We disclose information only: to the processors listed above to run the Service; where required by law or to respond to lawful requests; to protect our rights, users, or the public; or as part of a business transfer, in which case we will notify affected users. We do not otherwise disclose your data to third parties.

7. Data security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS/TLS), OAuth 2.0 authentication (we never store your ServiceM8 password), and least-privilege access. No method of transmission or storage is completely secure, but we take reasonable steps to safeguard your information.

8. Your rights

Depending on your location, you may have rights to access, correct, or delete your personal information, and to withdraw consent. You can disconnect LoopTradie at any time from the Settings screen or from within ServiceM8, which revokes our access. To exercise any right, contact support@looptradie.com and we will respond promptly.

9. International use

The Service is offered in Australia, New Zealand, and the United Kingdom. We comply with applicable privacy legislation in the regions we serve, including the Australian Privacy Principles and, where relevant, UK GDPR.

10. Children

The Service is intended for business use by adults and is not directed at children.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here and change the "Last updated" date. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
